As part of our ongoing commitment to transparency and compliance, staff should be aware of the retention schedule for Webex communications:
Direct and Group Messages: Retained for 90 days
Meeting Recordings: Retained for 365 days
After these retention periods, IT does not have the ability to retrieve deleted messages or recordings. It is the responsibility of all staff to be familiar with and follow the City Secretary’s Office Records Management Policy and Manual, especially for content that may be subject to Public Information Requests.
To remain compliant:
Download and save important messages and recordings before they are automatically deleted.
Organize and store records appropriately according to departmental procedures and City policy.
Regularly review Webex content for anything that must be retained beyond the platform’s retention window.
